TruVine Hub
Privacy Policy
Last updated October 26, 2026
TruVine Hub (“the Hub”) is an internal workspace run by TruVine Business Solutions for employees of TruVine and its portfolio companies. This policy explains what the Hub does with information from accounts you choose to connect, such as Google (Gmail, Google Calendar, Google Drive), Microsoft 365 (Outlook, Calendar, OneDrive), Pocket and Monday.com.
Who can use the Hub
The Hub is for TruVine and portfolio company employees and approved partners. You sign in with your work Google account. It is not offered to the general public.
What we access
- Your sign-in details: your name and email address, to know who you are.
- Google, only if you connect it: for each Google account you connect, permission to read Gmail, Google Calendar and Google Drive; to send email, add or answer calendar events and upload files to Drive when you ask it to; and to organize your Gmail (labels, stars, read/unread, archive, spam and moving to Trash) when you click or drag. You see the permissions on Google’s own screen before approving.
- Pocket, only if you connect it: read-only access to your recordings, transcripts and summaries, using a key you create in the Pocket app.
- Microsoft 365, only if you connect it: the same as Google, for Outlook, your Outlook calendar and OneDrive: reading them to show and summarize your work; sending, replying, answering invites, adding events, uploading files and organizing mail (moving to Archive, Junk or Deleted Items, flags, read/unread) only when you click to confirm. Microsoft shows the permissions on its own screen before you approve. The Hub never deletes mail for good; to remove the Hub's access completely, also remove it from your Microsoft account's apps page.
- Monday.com, only if you connect it: to show the items assigned to you on your boards and, only when you click to confirm (or sign off on an Ask AI suggestion), to add a to-do, change an item's status or post an update that shares an item with teammates. The Hub never deletes anything in Monday.
How we use it
- To show you your own calendar, inbox and recent Drive files inside the Hub.
- To carry out an action you confirm: sending an email or reply you wrote and reviewed, answering an invite, adding an event to your calendar, or uploading a file you chose.
- To prepare things for you to review, such as recaps, briefs and draft replies.
- Recordings are shared with your team only when you choose to share them. Your inbox is never shown to anyone else.
The Hub only sends, adds, uploads or organizes something when you do it yourself (a click or drag) or when you confirm something the AI set up for you. Either way you see exactly what will happen first; email sent from the inbox also gets a few seconds to undo. While you write an email, the Hub saves it to your own Gmail Drafts as Gmail does, and you can discard it at any time. When you snooze a conversation, the Hub moves it back to your inbox at the time you picked. Nothing else is sent or changed automatically. The Hub’s AI can prepare an action (an email, a calendar answer, organizing mail, adding items to a project) and show it to you as a card, but it only happens when you click Confirm or reply “yes” to that one card; the AI can never confirm its own suggestion. Deleting an email moves it to Gmail’s Trash, where you can restore it for 30 days; the Hub cannot permanently delete email, events or files (discarding one of your drafts removes that draft, as in Gmail).
Google user data
The Hub’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. In particular:
- Google data is used only to provide the features described above to you.
- We do not sell Google data or use it for advertising.
- We do not use Google data to train general-purpose AI models.
- People at TruVine do not read your Google data unless you ask us to (for example, to fix a problem), it is needed for security, or the law requires it.
Ask AI
When you ask the Hub’s AI a question, your question and the information it looks up for you (for example, the emails, calendar events, files or recordings relevant to your question) are sent to the company’s AI provider, OpenAI, only to write that answer. It looks things up as you: it can only see what you can see, and it can’t send or change anything unless you confirm it. The Hub asks OpenAI not to store these requests, and OpenAI does not use them to train its models.
Ask AI is kept to TruVine work and has a daily question allowance. To run that allowance the Hub counts how many questions each person asks per day. The Hub team can see those counts, never what anyone asked.
How it’s stored and protected
- Access keys for your connected accounts are encrypted before they are stored, and are tied to your Hub account only. Other employees cannot read them.
- Your email and calendar contents are fetched from Google when you open a page and are not saved in the Hub’s database. To keep pages fast, the Hub’s server briefly remembers your inbox list (up to 10 minutes) and the people you email (up to an hour), only for you, and never in your browser.
- The Hub saves only the times you choose to snooze conversations, so it can bring them back.
- Access keys are never sent to your web browser and are never written to logs.
Disconnecting and deleting
You can disconnect any account at any time on the Hub’s Connections page. Disconnecting cancels the Hub’s access with the provider and deletes the stored key straight away. You can also remove the Hub from your Google account at myaccount.google.com/permissions. For a Pocket key, also delete the key in the Pocket app.
Sharing
We don’t share your connected account data with anyone outside TruVine. We use service providers to run the Hub (hosting and database), who process data only on our behalf.
